Career Centre Operations Specialist - Alumni & Career Centre

Job Purpose

The Career Centre Operations Specialist is responsible for high-level of operation support to the Career Centre, ensuring the smooth and efficient operation of the office. This role involves coordinating schedules, managing communication, organising meetings, and supporting various projects, events and initiatives.

Job Responsibilities

  • Handling all the administrative tasks for the Career Centre
  • Monitor the progress of assigned projects, providing updates and reports as needed.
  • Invite organizations to run workshops, give guest talks, host recruitment days, and offer exclusive internships or graduate roles.
  • Coordinate company visits, recruitment booths, and info sessions to give students direct access to the professional world.
  • Represent the BUE externally at job fairs, forums, and industry events, acting as a proud and persuasive ambassador of our talent pool.
  • Take the lead in planning and executing on-campus employability events, including large-scale recruitment fairs, career expos, themed employer weeks, and spotlight sessions.
  • Ensure smooth daily operations of the office, including managing office supplies and equipment.
  • Manage calendars, scheduling appointments, meetings, and events.
  • Screen and respond to incoming calls, emails, and correspondence on behalf of the direct manager.
  • Prepare and manage official documents, reports, presentations, and other materials as required.
  • Maintain confidentiality in handling information.
  • Arrange and coordinate meetings, including preparing agendas, meeting minutes, and follow-up actions.
  • Organise virtual and in-person meetings, ensuring all required technology and resources are in place.
  • Build and maintain effective working relationships with internal staff, external stakeholders, and academic partners.
  • Maintain an organised filing system for electronic and paper records.
  • Handle procurement and resource management for the career centre.
  • Assist in the planning and execution of events, initiatives, and projects under the direct manager’s leadership.
  • Undertake additional duties as assigned by line manager.

 

Job Requirements

Educational Qualifications

  • A Bachelor’s degree Business Administration

Experience

  • Minimum of 2+ years’ professional experience, ideally in higher education, corporate recruitment, or a studentfacing role.
  • Proven experience in organizing and running events, workshops, or student engagement initiatives.
  • Demonstrated success in building partnerships with companies and external stakeholders.

Technical Skills

  • Excellent organisational and project management capabilities.
  • Excellent presentation, public speaking, and interpersonal skills.
  • Ability to write reports, proposals, and promotional content with clarity and creativity.
  • Proactive, enthusiastic, and adaptable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with scheduling software and virtual meeting platforms (e.g., Zoom, Teams).
  • High level of attention to detail and problem-solving skills.
  • Ability to work independently and under pressure.
