Administrative Assistant
Job Purpose
To provide secretarial and clerical support for the HoD/Director and for the staff within the Department.
Job Responsibilities
- Provide a full secretarial and clerical support service to the HoD/Director and staff within the department.
- Maintain effective diary management, including the co-ordination of all meetings and appointments and the provision of a schedule of activities and briefings for the HoD/Director.
- Review and amend material/correspondence for the HoD/Director and co-ordinate responses; take action on incoming mail as required i.e., priorities, anticipate action required and prepare routine responses.
- Maintain archiving office systems (manual and electronic). And coordinate with other BUE departments (e.g., Finance, Human Resource, Procurement, etc.) if needed.
- Prepares and produces technical documents, reports, correspondence in response to certain requests.
- Prepares regular reports, gathering, and summarizing data to keep managers up to date with the department status and the need for related actions.
- Prepare, copy, and distribute documents, papers and correspondence as required.
- Act as the first contact point for handling all inquiries/clarification, maintain databases and support in reviewing documents ensuring its accuracy.
- Assist with the organization, hospitality, secretarial servicing and taking minutes of departmental meetings and to prepare reports as required.
- Undertake various duties as assigned by HoD /Director.
Job Requirements
Educational Qualifications
- Bachelor’s degree in a related field.
Experience
- 0 to 2 years of experience in a clerical or secretarial job, preferably in the education sector and/or a multinational corporation.
Technical Skills
- MS Office.
Language Skills:
- Excellent English & Arabic reading, writing & speaking skills.
