Job Overview

To provide secretarial and clerical support for the Unit Director.

Job Duties And Responsibilities:

  • To provide a full secretarial and clerical support service to the Unit Director
  • To maintain effective diary management, including the co-ordination of all meetings and appointments and the provision of a schedule of activities and briefings for the Unit Director.
  • To examine material/correspondence for the Unit Director and co-ordinate responses; take action on incoming mail as required i.e. priorities, anticipate action required and prepare routine responses.
  • To develop and manage filing and office systems, manual and electronic.
  • To prepare copy and distribute documents, papers and correspondence as required.
  • To assist with the organization, hospitality, secretarial servicing and taking meetings’ minutes and to prepare reports as required.
  • Recording Unit’s staff absence/sickness/working from home and report sickness absence to the Unit Director
  • To assist in Unit’s events.

Person Specifications:


A university degree in a relevant field

Previous Experience:

Two to Three years experience in clerical or secretarial job

Language Skills:

Excellent English & Arabic reading, writing & speaking skills

Computer and IT Skills:

  • Advanced levels of computer skills
  • Moderate to advanced levels in Microsoft Office
  • Advanced levels in using Internet Tools and various browsers
  • General secretarial IT skills

Other Skills Requierd:

Good Communication and interpersonal Skills in both required language. Experience in dealing with international foreign staff and working within a multicultural environment Working coherently under pressure and meeting strict deadlines.
